The Challenge
Perilya is an Australian listed base metals mining company with operations in Australia and the Dominican Republic. Years of growth and acquisition left the organisation with fragmented infrastructure: multiple file servers across sites, separate Microsoft 365 environments for different geographies, and Dominican Republic mailboxes disconnected from the Australian tenancy. Staff couldn’t find documents reliably, collaboration across continents was painful, and inconsistent environments created ongoing security and governance headaches. The scale was significant: three file servers totalling approximately 25 terabytes, 362 mailboxes, and the Perilya.com domain that needed unifying across a consolidated environment.

Evocate ran a 13-sprint engagement covering discovery through stabilisation:
- Cross geography discovery across Australian and Dominican Republic tenancies, mapping file server structures, mailbox configurations, and domain dependencies
- Data and mailbox mapping classifying 25TB of file data and 362 mailboxes by priority, sensitivity, and migration complexity
- Phased file server migration to SharePoint: three file servers migrated to SharePoint Online in structured waves, preserving folder structures where appropriate and restructuring information architecture where it added value
- 362 mailbox consolidation into Exchange Online: migrating all Dominican Republic mailboxes into the unified Australian tenancy with minimal user disruption
- Perilya.com domain consolidation across the unified Microsoft 365 environment
- Validation, training, and support: end user training, UAT, and dedicated support channels during the transition
- Full project closure documentation and handover to Perilya’s internal IT team
Outcomes
Perilya’s staff across Australia and the Dominican Republic now operate from a single Microsoft 365 tenancy with unified email, document management, and collaboration. The 25TB migration consolidated three separate file server environments into structured SharePoint Online libraries. All 362 mailboxes sit in a single Exchange Online tenancy with consistent security policies and domain authentication. The Perilya.com domain is unified, eliminating the split identity confusion that plagued cross geography collaboration. Staff in both countries access the same document libraries, search the same content, and collaborate through the same Teams and SharePoint environment.
