The Challenge
The Australian Indigenous Doctors Association (AIDA) is a national not-for-profit representing Aboriginal and Torres Strait Islander doctors and medical students. As a member-based organisation, AIDA runs on documents: member records, governance papers, programs and submissions, and on internal communication across a distributed team. Its existing SharePoint environment had grown unstructured, document control was inconsistent, and there was no single intranet for staff to work from. For a not-for-profit, time and budget spent fighting disorganised systems is time taken from the mission.
What Evocate Delivered
In 2023 Evocate delivered a combined rebuild and platform engagement:
- SharePoint rebuild: a rebuild of AIDA’s SharePoint Online foundation, with structured, well-governed sites and libraries
- theHub intranet: branded to AIDA, as the single front door for news, resources and quick links
- DocsEvo document management: controlled, consistent handling of key documents
- Content migration: existing content moved into the new structure
- Training and handover: so the team can manage content and documents confidently
Outcomes
AIDA now works from a properly structured SharePoint Online environment instead of an ageing, ad hoc one. theHub gives staff a single intranet for news, resources and navigation, so internal communication no longer depends on email alone. DocsEvo brings discipline to document management: consistent storage, control and findability for the records the organisation relies on. Together, the three pieces give a distributed team a coherent digital workplace built on Microsoft 365 security.
Why This Matters
Not-for-profits carry the same document-control and collaboration needs as larger organisations, usually with leaner teams. AIDA shows how a single, well-scoped engagement, SharePoint rebuilt, theHub for communication and DocsEvo for document control, can give a national NFP an organised, secure digital home that lets it focus on its members rather than its systems.
